Privacy Policy
Step By Step, Inc. operates SBS Connect, an employee intranet. This policy explains how information is handled when authorized employees use the service.

1. Scope
This Privacy Policy applies to information processed through SBS Connect, including its employee directory, intranet content, account features, and employee notification services. It does not replace other workplace notices or policies that may apply to information handled outside SBS Connect.
2. Information we handle
Depending on how you use the service, we may handle the following information:
- Account and staff-directory information: your name, work email address, single sign-on or account identifiers, role and permissions, job title, division, region, supervisor, and workplace contact details.
- Phone, notification, and consent information: a mobile phone number associated with your staff record, notification preferences, SMS consent status, consent or revocation events, the policy and disclosure versions presented, and related message-delivery records.
- Intranet content and activity: posts, comments, reactions, and other content or interactions you submit or perform in SBS Connect.
- Security and technical information: sign-in and security events, IP address, browser or device information, timestamps, application logs, and diagnostic or error information needed to operate and protect the service.
3. How we use information
We use information as reasonably necessary to:
- authenticate users and provide authorized access to employee intranet features;
- display staff-directory information and employee-created workplace content;
- save notification choices and deliver requested email or text alerts;
- administer, support, troubleshoot, and improve the reliability of the service;
- detect, investigate, and respond to security, misuse, or technical issues; and
- meet applicable workplace, recordkeeping, and legal obligations.
4. When information is disclosed
Information may be visible to authorized employees and administrators when needed for the intranet features they use or manage. We may also disclose information to service providers that act on our behalf, including providers of hosting, authentication, communications, SMS delivery, and technical support. Those providers receive only the information reasonably needed to provide their services. We may also disclose information when required by law or reasonably necessary to protect the service, its users, or the organization.
Mobile-data and SMS consent statement: We do not share mobile information, SMS opt-in data, or SMS consent with third parties or affiliates for their own marketing or promotional purposes. We may provide that information to vendors that help deliver and support the text-message service requested by the employee, or when disclosure is required by law.
5. Text-message notifications
Employees may optionally choose recurring, non-marketing SBS Connect employee intranet post alerts at the mobile number associated with their staff record. Message frequency varies, and message and data rates may apply. Consent is optional and is not a condition of employment or access to SBS Connect. Reply STOP to opt out or HELP for help. You can also change the setting in Account Settings when signed in.
6. Retention and security
We retain information for as long as reasonably necessary for the purpose for which it was collected and for legitimate operational, workplace recordkeeping, security, dispute, and legal needs. The applicable period varies by the type of record and the reason it is kept. SMS consent and revocation records may be retained as evidence of an employee's choices.
We use administrative, technical, and organizational safeguards designed to protect information against unauthorized access, alteration, disclosure, or loss. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.
7. Your choices
You may manage available notification preferences in Account Settings. For text messages, you may turn notifications off there or reply STOP to an alert. Some account and directory information comes from organization-managed identity or staff systems; contact the appropriate internal team or use the contact information below to ask about a correction. Choices may be limited where information must be kept for security, operational, workplace, or legal reasons.
8. Policy updates
We may update this policy as SBS Connect or our information practices change. The revised policy will be posted here with a new effective date and version. When appropriate, we may also communicate a material update through the service or another workplace channel.
